Position Purpose

The primary role of the position is to support the daily operation of the Pool Management department which requires the daily accurate input of data and follow through on reoccurring task to support the function of the department. 


Major/Key Accountabilities

  • Perform daily data entry into spreadsheets for the submission of reports that are timely and accurate.

  • Use a variety technology to secure information from various sources.

  • Create and maintain logs for tracking purposes

  • Maintain and update files on contract carrier information

  • Able to communicate (electronically and verbally) with various internal and external parts of the organization to request updates on information submitted for review. 

  • Assisting group members with daily tasks and projects.



  • Keeping systems updated with current freight cost date, distance tables and fuel surcharge data to accurately calculate fuel cost and accruals.

  • Minimizing the impact of accessorial charges by managing the process according to the terms of the contract

  • Reviewing parked freight issues so carriers are paid on time.  These issue should be cleared up each week.

  • Reporting of inbound /outbound shipment activity

  • Researching and resolving freight claims

Authority/ Decision Making

  • Review request for accessorial charges and approve those that meet the terms of the carrier contract.  Deny those request that do not meet our contract terms.

  • Creating and updating Sales orders, purchase orders, and transfers

  • Validate SAP postings from the Service Centers.



  • Candidate must be able to work in a changing environment. 

  • Time management will be critical for success

  • Must be dedicated to details and accuracy as reports furnished by this individual will be used by others with in the organization

  • Candidate will need to have hourly work flexibility as some task will require completion beyond the normal work day.   


Key contacts Internal

This person in this role will need to work closely with the Director, Manager and colleagues within the department.  He/she will also need to communicate with Service Centers, Accounting and Finance operations.  Some dialogue with our office in Munich.


Key contacts External

The person in this role will need to communicate and work with outsourced partners in transport and wash along with outside vendors such as carriers. 



  • Must have a high school education.  College education not essential.  

  • Prior usage of Microsoft office suite needed to perform task. 

  • Previous usage of SAP would be beneficial. 



  • Working in an office setting comprising of several different departments.

  • Experience in communication with assorted groups.  


Skills and Knowledge   

  • Excellent written and verbal communication skills

  • Computer literacy required, including proficiency in standard business applications included in Microsoft Office Suite

  • Ability to work effectively in a team environment

  • Ability to handle multiple priorities and constraints

  • Willingness to support other team members in addition to normal responsibilities

  • Detail oriented and highly organized

  • Ideal candidate will possess excellent communication, flexibility and resourcefulness
